The short version: this website collects nothing at all — no forms, no cookies, no analytics. If you become a client I hold your contact details and the information you send me to price jobs, I keep it to myself, and I delete it when I no longer need it.
Who I am
Archie Spencer, sole trader, trading as AS Estimations and providing estimating and quotation services. I am the data controller for the information described below. You can reach me at archie@archiespencer.com or on WhatsApp on 07377 462171.
This website
This site has no contact form, sets no cookies and runs no analytics or tracking of any kind. Visiting it does not tell me who you are. The phone, WhatsApp and email links simply open your own apps.
If you contact me or become a client
I will hold:
- Your name, business name, phone number and email address.
- Your commercial information — labour rates, merchant discounts, mark-up and standard specification.
- The job information you send me: measurements, photographs, specifications and notes.
- Records of the quotes I have produced for you and the fees invoiced.
I use it to price your jobs, to produce your quotations, to invoice you and to keep the accounting records I am required by law to keep. The legal bases are performance of our contract, my legitimate interest in running and defending my business, and compliance with legal obligations.
Your customers' details
A quotation usually carries your customer's name and the address of the property. I handle that information only on your instructions and only to produce the quotation you asked for. I do not contact your customers, and I do not use their details for anything else. You remain responsible for that information as the controller of it.
Where your information is held
I live and work outside the United Kingdom, currently in Thailand, so information you send me is processed there and stored on services I use for email, messaging and file storage. Where those services hold data outside the UK, they do so under the safeguards their own terms provide. If that arrangement does not suit your business, tell me before sending anything and we will find another way of working.
Who I share it with
Nobody, other than my accountant, and HMRC or another authority where I am legally required to. I do not sell, rent or share your information, or your customers', with anyone for marketing.
How long I keep it
Quotations, invoices and the records behind them are kept for six years after the end of the tax year they relate to, which is what the tax rules require. Photographs, measurements and job notes are deleted once the quote has been delivered and paid for, unless you ask me to keep them for future work. If you stop using me, tell me and I will delete what I am not required to keep.
Your rights
You can ask me to:
- Tell you what information I hold about you, and give you a copy.
- Correct anything that is wrong.
- Delete information I no longer have a reason to keep.
- Restrict or object to what I am doing with it.
- Send it to you, or to someone else, in a portable format.
Email me and I will deal with it within one month, free of charge. If you are not happy with how I have handled it you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
If this notice changes I will update it here and change the date at the top.
